Menu labels and available features can vary by plan, language and version.
Step 1: Install the appropriate application
Download Mailbird from its official website and choose the version for your operating system. Complete installation and check which account and feature limits apply to your license.
Keep your old email application available until the new setup has passed a send-and-receive test. Back up local-only mail before a migration.
Step 2: Connect your first email account
On Windows, open the menu and select Settings → Accounts → Add. Enter your account information and follow the provider’s sign-in process. With a browser login, choose the exact mailbox you want to connect.
Keep the browser flow open until Mailbird confirms completion. For a work account, your administrator may need to allow the application.
Step 3: Check incoming and outgoing settings
If automatic detection fails, copy the incoming and outgoing server names, ports and encryption settings from your provider’s documentation. Do not guess them from your website domain.
Prefer IMAP when you need server-based mail to remain synchronized across devices. Review any POP3 setup carefully before changing how local messages are stored.
Step 4: Verify folders and identities
Wait for synchronization, then compare a few messages and folders with webmail. Compose a message and check the From address before sending, especially when you have several accounts.
Use a distinctive account label. Confirm that sent messages and replies appear where you expect before you make Mailbird your daily client.
Step 5: Bring in contacts correctly
Mailbird documents contact synchronization for Gmail and Outlook. For manual imports, open the Contacts app settings and choose Import contact from vCard for a .vcf file.
The extractor exports CSV, not vCard. Do not rename CSV to VCF. Import that CSV into a compatible address book and export proper vCards, or create a few contacts manually.
Step 6: Send and receive a test
Send a message to another mailbox you control, reply from there and check both directions. Test a harmless attachment and verify the signature and sender identity.
Only retire your old setup after important folders and locally stored messages have been accounted for. A connected account is not proof that an old archive was migrated.
Avoid common mistakes
- Browser sign-in stalls: restart the flow and select the correct provider account.
- Receiving works but sending fails: check outgoing-server settings and authentication.
- Contacts do not import: confirm that the file is a genuine vCard, not a renamed CSV.
FAQ
Does Mailbird create a new mailbox for me?
Mailbird is an email client. You connect an existing mailbox from an email provider.
Can I directly import the extractor’s CSV as vCard?
No. CSV and vCard have different structures. Use a supported conversion or address-book export workflow.
Can I use Mailbird instead of a newsletter platform?
For a subscriber newsletter, use a platform with unsubscribe and list-management workflows. Mailbird follows your mailbox provider’s sending restrictions.

Next step: prepare your data
Review existing addresses before transferring them. Clean address formatting replaces neither mailbox validation nor subscription evidence.
